LIFE PRO SCIENCE is the trade name of LIFE PRO SCIENCE S.R.L., a legal entity of Romanian nationality, with its registered office at Str. Valea Oltului, no. 16, bl. A28, sc. C, et. 1, ap. 36, sector 6, 061975, Bucharest, Romania, registered with the Bucharest Trade Register Office under no. J2026017014007, having tax registration code RO54249869 (hereinafter “Life Pro Science”).

For the purposes of data protection legislation, we are a Data Controller when we process your personal data obtained as a result of browsing the Website www.lifeproscience.com. When you use this Website or interact with Life Pro Science in general, we may process your personal data in accordance with this Privacy Policy, pursuant to the legislation in force.

The Policy is based on the provisions of Regulation no. 2016/679 on the protection of natural persons with regard to the processing of personal data and on the free movement of such data and repealing Directive 95/46/EC (“General Data Protection Regulation” or “GDPR”), as well as on the applicable national legislation.

The GDPR defines personal data as: “any information relating to an identified or identifiable natural person (‘data subject’); an identifiable natural person is a person who can be identified, directly or indirectly, in particular by reference to an identifier such as a name, an identification number, location data, an online identifier, or to one or more factors specific to that person’s physical, physiological, genetic, mental, economic, cultural or social identity.”

Life Pro Science undertakes to implement the highest standards of privacy and transparency with regard to the personal data it processes in its current activity. Our objectives of utmost importance are protection and full transparency regarding the processing of your personal data within our activity.

Your interaction with Life Pro Science, when it involves the processing of your personal data, is subject to this Privacy Policy and, respectively, the Cookie Policy when you browse our Website. The purpose of these Policies is to inform you about how personal data is collected, stored, and used.

What categories of personal data do we process?

In general, we collect personal data directly from you, so that you have control over the type of information you provide to us.

Thus, we receive information from you:

• when you create an account on the Website, you provide us with: your e-mail address, first name, and last name. Providing this data is mandatory in order for us to create an account for you within the online shop;
• when you place an order, you provide us with information such as: the desired product, first name and last name, delivery address, billing details, payment method, phone number;
• we may use your e-mail address to invite you to participate in online surveys. If you decide to participate in such surveys, we will also process your IP address;
• we may also collect and subsequently process certain information regarding your behavior while visiting our Website, in order to personalize your online experience and provide you with offers tailored to your consumer profile, if you have given us your consent for cookies and other similar technologies. • on our Website we may store and collect information in cookies and similar technologies, in accordance with the available Cookie Policy;
• in general, we do not collect or otherwise process sensitive data, included by the GDPR in special categories of personal data;
• when you access the prior consultation service with a specialist, we may also process, for this purpose, photographs/images (scanned copies) uploaded by you on the Website in the “Ask the Specialist” section.

What are the purposes and legal grounds of processing?

We will use your personal data for the following purposes:

To provide the products sold through the Website and to provide Life Pro Science services associated with this activity, for your benefit

This general purpose may include, as applicable, the following:

• creating and managing the account within the Life Pro Science platform;
• registering and processing orders, including taking, validating, shipping, and invoicing them, and collecting the invoice value;
• sending communications regarding the status of your orders;
• resolving cancellations or issues of any nature relating to an order or to the goods or services purchased;
• returning products in accordance with legal provisions;
• refunding the value of returned products in accordance with legal provisions;
• providing support services, including offering answers to your questions regarding orders placed by you or Life Pro Science goods, including their stock availability;
• sending communications regarding incomplete orders (products “forgotten” in the cart);
• providing the responses sent through the “Ask the Specialist” section.

The processing of your data for the purposes set out in points a) - h) above is based on art. 6 para. 1 lit. b) of the GDPR, namely the conclusion and performance of a contract between Life Pro Science and you. In addition, certain processing operations falling under these purposes are required by the applicable legislation, such as tax and accounting legislation, and legislation on online commerce.

Communications regarding incomplete orders, indicated at point h) above, are also based on the Controller’s legitimate interest in properly updating the available stock for the products on the Website.

The activities referred to in point g) above may be carried out using any communication channel. If you choose to contact us through our call center service or through the form displayed on the Site regarding the in-stock availability of certain products you are looking for, the basis for data processing is art. 6 lit. para. (1) lit. b) of the GDPR, namely for the performance of a contract to which the data subject is a party or in order to take steps at the request of the data subject prior to entering into a contract, as well as your consent.

The legal basis for processing for the purpose set out in point i) is art. 6 para. 1 lit. a) of the GDPR, namely the consent of the data subject.

To improve the quality of our services

We always want to offer you the best online shopping experience. For this purpose, we may collect and use certain information related to your behavior as a buyer/user on the Site, through cookies and other tracking technologies, if you give us your consent, in accordance with art. 6 para. 1 lit. a) of the GDPR.

We may invite you to complete satisfaction questionnaires after completing an order, or we may conduct market studies and research, directly or with the help of processors. If we use processors, we assure you that we will have concluded a contract with them in accordance with art. 28 of the GDPR. The legal basis for this processing is art. 6 para. 1 lit. f) of the GDPR, Life Pro Science’s legitimate interest being to constantly improve the quality of its services based on feedback received from customers, as well as the Site interface. You may object at any time to receiving invitations to participate in surveys by email by accessing the unsubscribe link at the end of the email.

If you wish, you can leave us a review regarding the product(s) purchased in the dedicated section; we will process your personal data for the continuous improvement of the products and services offered, as well as for investigating and/or remedying any deficiencies that are thus brought to our attention, based on Life Pro Science’s legitimate interest, in accordance with art. 6 para. 1 lit. f) of the GDPR.

For marketing

We want to keep you up to date on the best offers for the products/services that interest you. In this regard, we may send you general information, information about products similar or complementary to those you have purchased, and information about offers or promotions.

Offer personalization will be carried out based on your online purchase history and, where applicable, the products marked as favorites; this processing is performed exclusively on the products themselves, without processing any health-related data.

In commercial communications sent by email, data and information related to your interaction with the email received may be processed, such as information regarding delivery errors, the date the email was received, the date the email was opened, and access to any link available in the email content. Usually, this information is processed at a statistical level, to determine the interest and usefulness of the communication for recipients, in order to improve the quality and content of communications, with the legal basis being the Controller’s legitimate interest, in accordance with art. 6 para. (1) lit. f) of the GDPR.

We always ensure that this processing is carried out in compliance with your rights and freedoms and that decisions made on this basis do not have legal effects on you and do not similarly affect you to a significant extent.

We base our marketing communications on your consent. You can change your mind and withdraw your consent at any time, either by accessing the unsubscribe link displayed in the messages you receive from us or by contacting Life Pro Science using the contact details indicated above.

Giving consent to receive commercial communications is not a condition for purchasing products from the online store, but it allows us to communicate effectively with you and inform you about campaigns and offers you can benefit from.

To defend our legitimate interests

There may be situations in which we will use or transmit information to protect our rights and business activity. These may include:

• measures to protect the Site and the users of the Life Pro Science platform against cyberattacks;
• measures to prevent and detect attempted fraud, including the transmission of certain information to the competent public authorities;
• measures to manage various other risks.

The general legal basis for these types of processing may be our legitimate interest in defending our business activity, it being understood that we ensure that all measures we take guarantee a balance between our interests and your fundamental rights and freedoms, respectively the legal obligations we have as a data controller to ensure the security of the personal data we process by ensuring the security of the IT infrastructure – in accordance with art. 6 para. 1 lit. c) in conjunction with art. 32 of the GDPR.

Data processing for price personalization, profiling, and transparency

At the same time, in order to offer you the most relevant experience possible on the Life Pro Science Site (e.g., to recommend cosmetic products suited to your skin type or food supplements suited to your lifestyle goals), we use the data collected during your browsing and purchases.

Thus, the purpose of this processing is to analyze purchasing behavior, preferences expressed on the Site, and order history in order to display personalized recommendations for Goods and send you tailored promotional offers, and the legal basis for the processing is based either on our legitimate interest in optimizing our commercial platform and proposing products of interest to you, or on your express consent if you enable marketing cookies.

Although we sell food supplements, we do not collect or process personal data concerning your health status for marketing or profiling purposes. Recommendations are generated strictly based on the categories of products previously viewed or purchased. If you complete optional questionnaires on our Site (e.g., “Find out your skin care routine”), the data will be processed exclusively based on your explicit consent, which you may withdraw at any time.

Life Pro Science aims to ensure full transparency in its relationship with its Customers. If the price of a Good displayed on the Site is personalized or automatically adjusted for you based on an algorithm or your consumer profile (dynamic pricing), you will be explicitly and visibly informed when the price is displayed, before you complete the order.

You have the right to object at any time to profiling for direct marketing purposes, and you may exercise this right by changing the Site’s cookie settings or by sending a written request to the e-mail address: dpo@lifeproscience.com.

How long do we keep your personal data?

As a general rule, we will store your personal data for as long as you have an active account on the Life Pro Science platform.

With regard to the personal data you have provided to us by placing an online order that has been included in invoices (last name, first name, delivery address, products purchased, amount paid), it is kept in accordance with the applicable financial and accounting legislation, namely for 5 years from 1 July of the financial year following the one in which the accounting document was prepared.

The contact details provided in the “Ask the Specialist” section will be kept for a maximum period of 1 year from the date the request is submitted. The photographs/documents you upload in the “Ask the Specialist” section will be kept for a maximum period of 30 days, after which they will be deleted.

The contact details (e-mail address) provided in the form through which you request information regarding the availability of a certain product will be kept for a period not exceeding 6 months from the date of collection, after which they will be deleted.

In the case of online surveys, survey-related data will be deleted immediately after evaluation, but no later than 7 days from the time the survey is completed.

If a user account is inactive for a period greater than or equal to 3 years from the date of the last sign-in to the account, the personal data provided for the purpose of creating the account will be deleted, except for the data included in invoices, which will be stored for the period mentioned above. You may close your account at any time, directly from the Site, or you may request at any time that we delete certain information or close the account, and we will comply with these requests in both cases, subject to retaining the information and data mentioned above, including after the account is closed, for the indicated period.

To whom do we disclose your personal data?

As applicable, we may disclose or provide access to certain of your personal data to the following categories of recipients:

• companies within the same group of companies as Life Pro Science;
• courier service providers;
• payment/banking service providers;
• marketing/telemarketing service providers;
• market research service providers;
• the provider of the logistics platform through which the logistics operations related to the order are carried out (collecting the products, issuing the invoice, etc.);
• other companies (partners) with which we may develop joint programs for offering our goods and services on the market or programs aimed at improving health and increasing quality of life;
• third-party purchasers, to the extent that Life Pro Science’s business is transferred (in whole or in part), and the personal data forms part of the assets subject to such a transaction, who will comply with Life Pro Science’s instructions regarding the processing of your personal data.

If we have a legal obligation or if it is necessary to defend a legitimate interest, we may also disclose certain personal data to public authorities.

We ensure that access by third parties that are private-law legal entities to your data is carried out in accordance with the legal provisions on data protection and confidentiality of information, based on contracts concluded with them, pursuant to art. 28 of the GDPR in the case of processors, and pursuant to art. 26 of the GDPR in the case of joint controllers, ensuring the same level of protection.

To which countries do we transfer your personal data?

At present, we store and process your personal data in Romania.

How do we ensure the security of your personal data?

We are committed to ensuring the security of personal data by implementing appropriate technical and organizational measures, in line with industry standards.

Your personal data is transferred using state-of-the-art encryption algorithms, and we store it on secure servers while also ensuring data redundancy.

The information you provide is transmitted and automatically verified, in encrypted form, using an SSL (Secure Socket Layer) protocol. We do this to prevent misuse of the data by third parties.

To process payments, we use the services of the payment processor NETOPIA Payments. Any payment-related information is encrypted using HTTPS technology with TSL 1.2 encryption. Information about how NETOPIA Payments processes personal data related to online payments can be found here; our company does not process or store the card data you entered on the payment processor’s platform when making online payments.

What rights do you have?

The General Data Protection Regulation grants you a series of rights in relation to your personal data. You may request access to your data, the correction of any errors in our files and/or you may object to the processing of your personal data when such processing is based on our legitimate interest.

You may also exercise your right to file a complaint with the competent Supervisory Authority or to bring the matter before the courts. As applicable, you may also have the right to request the deletion of your personal data, the right to restrict the processing of your data, and the right to data portability.

Please note the following if you wish to exercise these rights:

Identity. We take the confidentiality of all records containing personal data seriously. For this reason, please send us your requests regarding such records using the email address associated with your Life Pro Science account. Otherwise, we reserve the right to verify your identity by requesting additional information intended to confirm your identity.

Response time. We will respond to any valid requests within a maximum of one month, unless this is particularly complicated or if you have made several requests, in which case we will inform you within one month of the reasons for the delay and you will receive a response from us within a maximum of two months. We may need to ask you for more information in order to qualify your request. This will help us act faster and shorten the response time to your request.

Rights of third parties. We will not act on a request if it would adversely affect the rights and freedoms of other data subjects.
